The Role:
The Project Coordinator is responsible for supporting the planning, execution, and completion of projects by coordinating schedules, resources, communications, and documentation. This role ensures projects stay on track, within scope, and aligned with organizational goals while serving as a key point of communication between teams, vendors, and stakeholders. The Coordinator acts as the central hub for installation readiness, ensuring alignment between construction timelines, internal systems (QSSF), vendors, and operational teams.
What You'll Do:
Key Responsibility
- Coordinate day-to-day project activities to ensure timely execution of deliverables
- Assist project managers with planning, scheduling, and tracking project milestones
- Maintain and update project documentation, timelines, and status reports
- Facilitate communication between internal teams, external vendors, and stakeholders
- Track project progress and flag risks, delays, or issues to leadership
- Schedule meetings, prepare agendas, and document meeting notes and action items
- Support resource allocation and ensure materials and tools are available as needed
- Monitor project budgets and assist with expense tracking when required
- Ensure compliance with internal processes, standards, and reporting requirements
- Assist with onboarding of new team members or vendors related to project work
Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
- 1–3 years of experience in project coordination, administration, or operations support
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) or similar tools
- Experience with project management tools (e.g., Sales Force, Asana, Smartsheet, Trello) preferred
- Detail-oriented with strong problem-solving abilities.
- Ability to coordinate across vendors, contractors, and internal teams
